Cancellation & Refund Policy
Clear, transparent, and fair terms designed to ensure operational efficiency and reliable service for all our guests in Himachal.
Note: By booking a taxi with Palampur Taxi Service, either via website, phone, or WhatsApp, you explicitly agree to the terms and conditions outlined below. These policies are strictly enforced to manage our limited fleet in the hilly terrains.
1. Standard Cancellation Terms
We understand that travel plans can change. However, last-minute cancellations result in idle vehicles and lost business. Our standard cancellation refunds are processed as follows:
- Cancellation 48+ Hours before pickup: 80% Refund of the advance amount .
- Cancellation 24 to 48 Hours before pickup: 50% Refund of the advance booking amount.
- Cancellation less than 24 Hours before pickup: No Refund. The entire advance amount will be retained as a cancellation fee.
2. No-Shows & Late Arrivals
Our drivers operate on strict schedules. In the event of a “No-Show” (where the passenger fails to arrive at the designated pickup location), the following terms apply:
- A waiting period of 45 minutes is provided for airport/railway station pickups, and 20 minutes for hotel/local pickups.
- If the customer does not contact us within this waiting period, the booking will be marked as a No-Show.
- No refunds will be issued for No-Shows under any circumstances.
3. Trip Shortening / Mid-Trip Terminations
If you decide to shorten your trip, end your tour early, or reduce the number of booked days while the trip is ongoing:
- No partial refunds will be provided for unused days, unused kilometers, or early terminations. The full agreed-upon package amount must be paid.
- If a trip is terminated by Palampur Taxi Service due to passenger misbehavior, illegal activities, or severe disrespect to the driver, no refund will be issued, and the passenger will be dropped at the nearest safe location.
4. Mountain Travel, Weather & Force Majeure
Traveling in Himachal Pradesh involves unpredictable geographical and weather conditions. Palampur Taxi Service is completely exempt from refund liabilities in the following scenarios:
- Delays or trip cancellations caused by acts of God, including but not limited to: heavy snowfall, landslides, cloudbursts, or severe weather warnings.
- Delays caused by heavy traffic, political rallies, VIP movements, roadblocks, or border closures.
- If a destination cannot be reached due to a sudden roadblock, the driver will take an alternate route (which may incur extra mileage charges) or drop you at the nearest accessible point. No refunds are applicable for incomplete itineraries due to road closures.
5. Vehicle Breakdown & Substitutions
While our fleet is meticulously maintained, mechanical failures can occur. In the rare event of a breakdown:
- We will provide a replacement vehicle as quickly as practically possible.
- If the exact booked vehicle model is unavailable, we will provide a vehicle of a similar or higher category at no extra cost.
- If only a lower category vehicle is available, we will refund the fare difference.
- No full refunds or compensations are provided for time lost due to a breakdown, provided we arrange an alternative to continue the journey.
6. Modifications to Bookings
If you wish to change your pickup time, date, or vehicle type after booking:
- Modifications are subject to fleet availability and must be requested at least 24 hours in advance.
- Changes in travel dates or vehicle upgrades will be charged as per the current tariff.
- Inability to accommodate a last-minute modification request does not qualify the booking for a free cancellation. Standard cancellation rules (Section 1) will apply.
7. Refund Processing Procedure
If your cancellation falls within the eligible refund window:
- Refunds must be requested in writing via email to booking@palampurtaxiservice.com or via the original WhatsApp booking thread.
- Approved refunds will be processed back to the original mode of payment (UPI/Bank Transfer/Card) within 7 to 10 business days.
- Cash payments made to drivers cannot be refunded in cash immediately; they will be processed via bank transfer by our administrative office.
